Create a solo agent
Your AI agent is like your clinic’s virtual receptionist—it answers calls, replies to messages, and helps patients book appointments. Here’s how you can set up a solo agent (a single AI assistant assigned to one clinic).
Step 1: Open the Agent Setup Page
- On the sidebar menu, select Agents → Solo Agents.
- Click on Create Agent or open an existing one if you're editing.
Step 2: Set the agent’s name, personality, and instructions
On the top-left corner of the page, enter a name for the agent. Then, in the Agent Instructions section, do the following:
- In the text box, describe your agent’s personality and behavior. Example: “You are Chloe, a friendly and professional dental AI assistant at Bright Smile Dental. Speak in a warm, helpful tone. Keep messages short and bundle related questions to avoid back-and-forth.
- Scroll down and add specific instructions for how your agent should interact with:
- New Patients: Ask what service they need, then request name, mobile number, and preferred appointment time.
- Existing Patients: Direct them to call the clinic for help.
- Booking Management: Use tools like “List Available Slots” and “Create Booking” to handle appointments.
- Tip: Write these instructions like you’re training a human receptionist. Be specific, but keep the tone natural.
Step 3: Configure the Agent Settings
On the right side, you'll see different configuration areas. Click to expand each one and fill in the details:

First Message: This is your agent's greeting in calls and SMS conversations. You have the option to type in a message you want the agent to explicitly say as its greeting or to let the AI generate a message based on a prompt you provide.

Last Message: This is your agent's closing message in calls and SMS conversations. You have the option to type in a message you want the agent to explicitly say to end the call or SMS conversation or to let the AI generate a message based on a prompt you provide.

Voice Settings
- Voice: If the agent supports voice calls, choose its voice.
- Language: Choose the language supported by your agent.
- LLM Settings
- Models:
- Temperature: This determines how creative you want the agent to be in generating responses.
tipKeep the LLM settings default unless you've been advised to customize.

Functions: This refers to the functions the AI agent can perform to update the calendar or appointments in your PMS. Make sure to add each function that you included in the agent's instructions. Below is a list of functions you can add to the agent:
- Get Patient Information
- List Appointment Slots
- Create Patient Record
- List Appointments
- Create Appointment
- Call Transfer
- End Call
- Send Payment Link

Knowledge Base: Select the clinic location to which this agent will be assigned. This setting tells the agent which calendar it should refer to when creating or updating appointments.

Channels Settings: Choose whether the agent will handle calls, SMS, or both by binding phone numbers.
Step 4: Configure advanced call settings
Step 5: Test the agent
Before going live, you can test the agent to simulate a conversation and see how it performs. On the top-right corner of the page, click the Test button and select the type of test you want to simulate: Test Voice (Call) or Test SMS.
- Voice call: In the Voice Test area, click Start Voice Call. If not yet enabled, the browser will ask permission to use your microphone. Once enabled, you can start speaking into your device's microphone, simulating a patient call. The AI agent will respond and process the call based on the instructions you've provided.
- SMS: In the SMS Test area, type in a message as a patient and click Send. The AI agent will respond and proceed based on the instructions you've provided. Tip: We highly recommend testing an AI agent before going live so that you can evaluate if you need to make any necessary changes to the agent instructions based on the responses and flow you experience during testing.
Step 6: Publish and go live
Once you're happy with how your AI agent behaves, click the Publish button (top-right). Your AI agent is now live and ready to help patients on the channels you selected!
That’s it! You’ve just created your solo AI agent. If you ever want to update how your agent talks or behaves, just open the agent's configuration and make your changes.
