Manage your clinic communications

The Communications menu is where you can:

  • View and follow up on recent call and SMS conversations with patients
  • Manually call patients and receive patient calls

Here's how to use each feature to stay on top of your patient interactions.

Click the chat bubble icon on the left-hand side of your screen. This takes you to the full list of recent conversations—calls and texts combined.

You can switch between:

  • All conversations
  • Unread conversations (helpful to track what still needs your attention)

2. View and Filter Conversations

Each conversation shows:

  • The patient's name or number

  • Time of the last activity

  • Whether it was a call or SMS

  • The phone number used

Click any conversation to see full details on the right panel.

3. Play Call Recordings

For voice calls, you'll see a Play Recording button in the Call Details section. Click it to listen to the call—great for reviewing patient inquiries or quality-checking how the AI performed.

You'll also see:

  • Call duration

  • A summary (e.g. “Nice call”)

  • The transcript of what was said

4. Reply to SMS Messages

If the conversation is via text (SMS):

  • Use the message box at the bottom to type your reply

  • Click the send arrow to deliver your message This is perfect for follow-ups, clarifying appointment details, or confirming bookings.

5. Call the Patient Back

If you want to return a missed call or reach out directly:

  • Click the Call button next to the phone number at the top of the conversation This will initiate a call from your DentalFlo number so it stays professional and clinic-branded.

That's it! Your Communications panel is your clinic’s inbox for staying in touch with patients—whether you're following up on a missed call or texting to confirm a visit.
